MEETING ROOM POLICY
Meeting rooms are available at the Colleton County Memorial Library for purposes consistent with the Library's mission to promote the informational, educational, cultural, and recreational needs of the citizens of Colleton County. The Library will neither deny nor abridge the rights of individuals or groups to use a Library meeting room because of origin, background, or views. The granting of permission to use a Library Meeting room does not constitute endorsement of the viewpoints of meetings or meeting room users.
Our goal is to make meeting facilities available to as many organizations and programs as possible. Priority for meeting room reservations will be given to Library-related programs and those co-sponsored by the Library. All other reservations for meeting rooms will be made on a first-come, first-served basis. Meeting rooms may not be booked for ongoing, regular meetings. Meetings may be booked up to 90 days in advance of the meeting date. The Library reserves the right to cancel a reservation if necessary.
Meeting room usage is available during regular hours of operation for the Library facility. Use of meeting rooms during non-Library hours may be scheduled, subject to approval by the Library Director.
The Library reserves the right to assess charges against a user for damages to Library property resulting from usage of a meeting room. A refundable deposit is required if a user wishes to serve food or beverages.
The Library allows the use of its facilities with the understanding that the Library accepts no responsibility for the personal safety of any person, either inside or outside the building, during that use. The Library is not responsible for damage, loss, or theft of personal property.
MEETING ROOMS
The library has 2 meeting rooms that are accessible through the Library or through the Hampton Street entrance.
The City of Walterboro Meeting Room seats 100 people and is equipped with a sound system, large projection screen, television/VCR, and piano. Ten tables are available for use. The room is adjacent to a foyer where food and beverages may be served, a kitchen, and restrooms. This meeting room is handicapped accessible.
The Frances S. Cannon Conference Room is furnished with a conference table that will seat up to 12 people and is equipped with a large projection screen. The room is adjacent to a foyer where food and beverages may be served. This room is not accessible to a kitchen.
MEETING ROOM REGULATIONS
APPLICATIONS & RESERVATIONS: An application form must be completed when a reservation is made for the first time and approved by the Library Director. Applications will be updated on a yearly basis. Applicants must be an adult, 18 years or older. After the application is approved and, if applicable, fees paid, reservations may be made at the Circulation Desk. Cancellations may also be made at the Circulation Desk.
RESTRICTIONS:

No admission fee may be charged to individuals attending functions in a Library meeting room. Membership dues may be collected.

Solicitation or sale of goods or services is not permitted, unless related to a Library-sponsored program; for-profit businesses or organizations may not use library facilities.

The Library reserves the right to have a representative attend any meeting to ensure no unlawful activities or activities contrary to this policy occur.

No candles or other incendiary materials may be used.

Non-library groups may not claim endorsement by the Library nor imply that the Library is a sponsor of the meeting.

Non-library groups must submit a copy of all publicity for approval before it is distributed.

Non-profit groups may be required to tender proof of IRS non-profit status.

All meetings are open to the public; privacy cannot be guaranteed except for lawful executive sessions of governmental bodies.
